They are seeking an Administration Coordinator at EFTA to join their dynamic and multicultural workforce. This role offers the opportunity to work in a fast-paced environment alongside professionals from diverse backgrounds while contributing to the future of aviation operations.

As an Administration Coordinator, the role involves planning and managing administrative activities related to leave distribution, manpower resource allocation, and departmental stores management. The position ensures compliance with company and departmental policies while supporting the efficient utilization of resources required for 24-hour shift operations. The coordinator also ensures that operational needs such as equipment functionality, stationery availability, and coordination with Customs regarding unclaimed baggage are effectively handled to maintain smooth departmental operations.


Key Responsibilities

  • Maintain continuity of operations by documenting activities, communicating required actions to management, and identifying irregularities or operational needs.

  • Resolve administrative issues by analysing relevant information and implementing practical solutions.

  • Manage and administer operational data through relevant systems to ensure administrative procedures are followed.

  • Maintain accurate records of staff overtime, time-off in lieu, sickness, absences, and leave. Update HR systems such as TER in a timely and accurate manner.

  • Improve administrative workflows by reviewing existing methods, identifying cost-saving opportunities, and establishing efficient reporting procedures.

  • Support employee performance by researching, developing, writing, and updating administrative policies, procedures, and operational guidelines.

  • Provide consistent and accurate customer service through available communication channels.

  • Coordinate airside pass applications for both internal employees and external stakeholders.


Qualifications

  • Completion of 12 years of schooling or an equivalent qualification.


Requirements

Candidates must meet the following requirements:

  • Minimum 3 years of experience in an administrative environment, preferably in a similar role.

  • Proficiency in Microsoft Office applications.
